Room block management software

Room block management software is a tool that tracks a hotel room block against its group contract, recording pickup per night, rooming list changes and deadlines such as the cutoff date.

How does room block management software work?

Room block management software follows a group's room block from signed contract to checkout. Its core job is pickup: comparing the rooms named and booked each night against the rooms the contract holds. It also tracks the cutoff date and logs each add, drop and name change on the rooming list.

The tools come from two sides. Hotel-side tools manage blocks for the property. Cvent markets Passkey to hotels as a group reservations product, and says its CventIQ feature handles rooming lists by "mapping reservation data to a hotel's required format" (Cvent). Agency-side tools track the same block from the planner's seat, often across several clients and hotels at once.

For a TMC or DMC, the contract sets the price of a missed number. If pickup falls short and nobody spots it before cutoff, the unreserved rooms go back to the hotel. The shortfall can then trigger attrition charges under the liquidated damages clause. The worked example in our attrition clause article shows how fast that charge grows.

What should an agency look for?

We think the main test is whether the tool links the block to the contract terms. Some tools count rooms but don't hold the cutoff, the attrition threshold or the release dates, which leaves the agency working out its exposure in a spreadsheet. The second check is who the tool was built for. A hotel-side system reports the hotel's numbers and rarely shows the agency's own deadlines or margin. For a comparison of the main options for agencies, see Cvent, HotelPlanner or dedicated group booking software for agencies.
