Group booking software

Group booking software is a tool agencies use to manage a group hotel booking through its stages: sourcing hotels, comparing proposals, the contract, the rooming list and the payment schedule.

How does group booking software work in practice?

For a TMC or DMC, group booking software holds a group from the first request to the final balance. It stores the hotel RFP you send to a shortlist of hotels and the priced proposals that come back. It also holds the signed contract, the rooming list and the schedule for deposits and balances. Each stage feeds the next. The rooming list has to match the room block in the contract, and payments follow the dates the contract sets.

Tools sold under this name vary a lot. Some stop at sourcing and RFP distribution. Others start after signature and track pickup against the block, which puts them closer to room block management software. Confirm which stages a tool covers before you compare prices.

What does it cost when it goes wrong?

Most of the cost sits in the gap between the contract and the rooms the group uses. Nexorev puts group attrition, meaning rooms blocked but not picked up, at between 5% and 25% depending on the group. Under an attrition clause, the hotel can charge the group for part of that gap. If your tool loses track of the cutoff date or a late name change, you end up paying for a shortfall the group could have managed.

What should you check before choosing one?

We think the first test is whether contract terms carry through to the rooming list and payment tracking, or whether someone on your team has to copy them across by hand. The second is pricing: check whether the platform earns a ghost commission hidden in the hotel rate. Our buyer's checklist for group booking software covers both tests in more detail.
